Terms of Service

Who these terms apply to

These Terms of Service govern your use of Policyflow, a policy lifecycle management service operated by Applikeable (“we”, “us”). By creating an account or using the service, you agree to these terms. If you are using Policyflow on behalf of an organisation, you represent that you have the authority to bind that organisation.

The service

Policyflow provides tools for creating, distributing, and collecting attestations against internal policies. We grant you a non-exclusive, non-transferable right to access and use the service during your subscription term, for your internal business purposes.

Your account

You are responsible for keeping your login credentials secure and for all activity that takes place under your account. Tell us immediately at hello@applikeable.com if you suspect unauthorised access.

You must be at least 18 years old and authorised to enter contracts on behalf of your organisation to create an account.

Acceptable use

You agree not to:

• Use the service to distribute content that is unlawful, harmful, or misleading.
• Attempt to gain unauthorised access to any part of the service or its infrastructure.
• Reverse-engineer, decompile, or otherwise attempt to extract the source code of the service.
• Resell or sublicense access to the service without our written consent.
• Use automated tools to scrape or overload the service in a way that disrupts normal operation.

Subscriptions and billing

Paid plans are billed monthly or annually as selected at checkout. Prices are shown exclusive of VAT; applicable taxes will be added at checkout based on your location.

You can cancel your subscription at any time. Cancellation takes effect at the end of the current billing period — you will retain access until then and will not receive a prorated refund for any unused time.

We reserve the right to change our pricing with 30 days' notice. If you do not agree to a price change, you may cancel before it takes effect.

Your content

You retain ownership of the policies, documents and other content you upload to Policyflow. By uploading content, you grant us a limited licence to store and process it for the purpose of delivering the service to you. We do not claim any ownership over your content and will not use it for any purpose beyond operating the service.

Data and privacy

Our Privacy Policy explains how we collect and handle personal data. Where your use of Policyflow involves processing personal data on behalf of your organisation, you are the data controller and we act as data processor. We process that data only on your instructions and in accordance with GDPR.

Availability and support

We aim to keep Policyflow available and well-maintained, but we do not guarantee uninterrupted access. We may carry out scheduled maintenance and will endeavour to do so outside of business hours. Support is available by email at hello@applikeable.com.

Limitation of liability

To the maximum extent permitted by law, Policyflow is provided “as is”. We are not liable for any indirect, incidental, or consequential loss arising from your use of the service, including loss of data, revenue, or business opportunity.

Our total liability to you for any claim arising under these terms will not exceed the amount you paid us in the three months preceding the claim.

Termination

Either party may terminate the agreement at any time. We reserve the right to suspend or terminate access immediately where there is a serious breach of these terms or a risk to the security of the service or other users. On termination, you may request an export of your data within 30 days before it is deleted.

Governing law

These terms are governed by the laws of Denmark. Any disputes will be subject to the exclusive jurisdiction of the Danish courts, without prejudice to your rights as a consumer under the law of your country of residence.

Changes to these terms

We may update these terms from time to time. We will notify account holders by email at least 14 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the updated terms.
